The 6th East Kilbride Scout Group seeks a dedicated and efficient Volunteer Group Secretary to join our team. You will play a vital role in supporting the smooth running of the Group by managing administrative tasks, maintaining records, and ensuring effective communication between members.
Key Responsibilities:
- Meeting Management:
- Schedule and prepare agendas for regular Trustee meetings.
- Attend and take comprehensive minutes of all meetings, capturing key decisions and action points.
- Distribute accurate minutes to committee members in a timely manner.
- Record Keeping:
- Maintain updated membership records, including contact information and volunteer roles.
- Oversee the filing and archiving of important documents, ensuring compliance with legal requirements.
- Manage the Group calendar, keeping track of key events, deadlines, and bookings.
- Communication:
- Coordinate communication between committee members, leaders, parents, and the wider Scouting community.
- Distribute relevant information through emails, newsletters, and website updates.
- Liaise with external organisations and authorities on behalf of the Group.
- Administrative Support:
- Assist with organising elections, annual general meetings, and other administrative tasks.
- Contribute to the development and implementation of Group policies and procedures.
- Provide general administrative support to the Group Leader and Treasurer.
